Property Lease Manager Guide

Step-by-step help for the Android app screens and workflows.

How the App Is Organized

Property Lease Manager is built around three records: properties, tenants, and leases. Most workflows start from the Dashboard or from one of the four bottom tabs: Dashboard, Properties, Tenants, and Leases.

Bottom tabs Move between Dashboard, Properties, Tenants, and Leases.
+ button Create the thing for the current tab, or open the quick action sheet from Dashboard.
Drawer menu Open reports, charts, CloudSync, AI tools, settings, documents, and support screens.
Overflow menu Find screen-specific filters, exports, display options, and settings.

Dashboard and Navigation

The Dashboard is the app's command center. It shows summary cards, notices, upcoming attention items, notes, charts, and quick actions. Use the search field at the top to search across records.

Use the Dashboard

  1. Open the app. The Dashboard tab is selected by default.
  2. Review cards such as current leases, payments overview, revenue comparison, occupancy, top properties, and notes.
  3. Tap a card or action item to open the related lease, property, payment, report, or CloudSync screen.
  4. Use the overflow menu to show or hide Dashboard notes, customize Dashboard cards, change the Dashboard image, or delete all notes.

Use the Dashboard + Button

  1. Tap the + button at the bottom right while Dashboard is selected.
  2. Choose one of the quick actions: Ask Anything, Add Sticky Note, Add Expense, Split Expense, New Property, New Tenant, New Payment, Create Invoice, or New Lease.
  3. Complete the screen or dialog that opens, then save.

Properties

Properties are the rental units you manage. A property can be a single unit or a shared property with multiple rooms or sub-units.

Create a Property

  1. From the Dashboard, tap the Properties tab.
  2. Tap the + button at the bottom right to open the Create Property screen.
  3. Enter the property name and address or location.
  4. Optionally tap Mark on Map to store the location on a map.
  5. If the property has rooms or units that can be leased separately, turn on Shared (Multiple Units), then add the rooms or units.
  6. Enter default daily, weekly, fortnightly, monthly, and security deposit values if you want new leases to pre-fill those rates.
  7. Add a property picture by taking a photo or choosing one from the gallery.
  8. Tap Save.

Use Property Cards

  1. Open the Properties tab to view all property cards.
  2. Tap Manage to open the Manage Property screen.
  3. Tap the note action to record property-specific notes.
  4. Tap Share to create a shareable property snapshot.
  5. Tap Lease to start a new lease for that property.
  6. Use the overflow menu to show all properties, rented properties only, vacant properties only, or export properties to CSV.

Manage a Property

  1. Open Properties, then tap Manage on a property card.
  2. Use Edit to update property details, or Report to open an income and expense report filtered to this property.
  3. Expand Calendar to see active, past, and future lease periods, then create a new lease from the calendar if needed.
  4. Expand Repair and Maintenance Logs to record maintenance costs and completion dates.
  5. Expand Expenses to add one-off expenses, recurring expenses, filter by date, view charts, or export expenses.
  6. Expand Attached Documents to attach property documents.
  7. Expand Statistics to inspect revenue, expenses, occupancy, and performance figures.
  8. Expand AI Analysis to generate or save a property AI report.

Tenants

Tenant records store the people connected to your leases. Tenant contact details are also used for reminders, emails, calls, shared lease access, and chat features.

Create a Tenant

  1. From the Dashboard, tap the Tenants tab.
  2. Tap the + button at the bottom right to open the Create Tenant screen.
  3. Optionally tap Load Details From Contacts to import details from the device contacts.
  4. Enter first name and last name.
  5. Add address, contact number, and email address as needed.
  6. Add a tenant picture by taking a photo or choosing one from the gallery.
  7. Tap Create Tenant.

Use Tenant Cards

  1. Open the Tenants tab to view tenant cards.
  2. Tap Edit to update details.
  3. Tap Notes to store internal notes for that tenant.
  4. Tap Email or Call to contact the tenant from the app.
  5. Archive a tenant when you want to remove them from the active tenant list without deleting their history.
  6. Delete a tenant only when they have no associated leases.
  7. Use the overflow menu to show all tenants, renting tenants, future renting tenants, non-renting tenants, or export tenants to CSV.

Leases

A lease connects a tenant to a property or room for a defined or indefinite period, with payment rules, deposits, reminders, and optional documents.

Create a Lease

  1. Create at least one property and one tenant first.
  2. From the Dashboard, tap the Leases tab.
  3. Tap the + button at the bottom right.
  4. Select the property. If the property is shared, choose whether the lease is for the entire property or for a specific room.
  5. Select the tenant.
  6. Choose the lease period, or turn on Indefinite Lease if there is no end date.
  7. Review any overbooking warnings before continuing.
  8. Select the payment term basis: yearly, biannual, quarterly, monthly, fortnightly, weekly, or daily.
  9. Enter the payment amount and payment cycle settings.
  10. Configure auto payments, pro-rata payment, security deposit, and due payment reminders as needed.
  11. Tap Rent Property to create the lease.

Use the Leases Tab

  1. Open the Leases tab to see active, upcoming, past, suspended, or terminated leases.
  2. Tap a lease card to focus it, or tap View Lease to open the full lease screen.
  3. Tap the tenant name on a lease card to open that tenant.
  4. Tap overdue payment alerts to jump directly to the lease payments card.
  5. Use filters to narrow leases by property, term basis, lease status, or active status.
  6. Use the overflow menu to switch compact view, view the term-basis color legend, export leases to CSV, or archive inactive leases.

View and Manage a Lease

  1. Open the Leases tab, then tap View Lease on a lease card.
  2. Use the Payments card to add payments, generate multiple payments, create invoices, browse invoices and receipts, export payment CSV files, and view payments in the calendar or tracker.
  3. Use Contract Details to adjust details, generate a lease agreement, view an existing agreement, suspend, reinstate, terminate, or cancel a lease where available.
  4. Use Contact Tenant to call, email, edit tenant contact details, or email the property location.
  5. Use Attached Documents to store lease documents.
  6. Use Notes for internal lease notes.
  7. Use Reminders to control due payment reminders, tenant reminder emails, note creation, and email templates.
  8. Use AI Analysis or the sparkle button to analyze the lease or chat about the lease.
  9. Use the overflow menu to reorder lease cards.

Payments, Invoices, and Receipts

Payment tools are available from the Dashboard + menu, the View Lease screen, the Payments Calendar, and the drawer.

Add a Payment

  1. Open the Dashboard + menu and choose New Payment, or open a lease and tap New Payment.
  2. If prompted, select the lease.
  3. Choose the payment type and payment date.
  4. Enter the amount and any notes.
  5. Save the payment.
  6. After saving, generate a receipt if you need one.

Use Payment Screens

  1. Open Payments Log from the drawer to review recorded payment entries.
  2. Open Payments Tracker from the drawer to view due, paid, and overdue payments with optional chart and PDF export tools.
  3. Open Payments Calendar from a lease to view payments by date, then jump to Payments Tracker or Income/Expense Report from the toolbar.
  4. Use Create Invoice from the Dashboard + menu or from a lease to generate an invoice for a selected lease or payment.
  5. Use receipts from payment rows or the post-payment action to generate receipts.

Expenses

Expenses can be created from the Dashboard + menu, from Manage Property, or through the dedicated Expenses Tracker. Expenses feed reports, charts, and net profit calculations.

Add Property Expenses

  1. Tap the Dashboard + button and choose Add Expense.
  2. Select the property.
  3. Enter the expense date, type, amount, and notes.
  4. Save the expense.
  5. To add recurring expenses, open Manage Property, expand Expenses, then choose Add Recurring Expense.

Use Expense Tools

  1. Open Expenses Tracker from the drawer to view expense timelines, filters, totals, and rows across properties.
  2. Open Split Expense from the Dashboard + menu to divide a cost across properties.
  3. Use Manage Expense Types from the expense customization flow to add or reorder expense categories.
  4. Use Manage Property > Expenses to view property-level one-off and recurring expenses, date filters, charts, CSV export, and subtotals.

Reports and Charts

Reports and charts help compare rent income, expenses, occupancy, property performance, security deposits, and annual results.

Generate Reports

  1. Open the drawer.
  2. Choose Income/Expenses Report for a date-based report across the portfolio or for a selected property.
  3. Choose Previous Leases Income to review income from completed or previous leases.
  4. Choose Year in Review to generate an annual summary.
  5. Use export actions where available to save reports as PDF or CSV.

View Charts

  1. Open Performance Charts from the drawer for portfolio-level performance charts.
  2. Open Property Charts from the drawer, select a property, then choose the chart type.
  3. From Manage Property, open Statistics and tap chart buttons to open revenue, expenses, or occupancy charts.
  4. Use chart menus to change periods, chart types, colors, or export options where available.

Review Security Deposits

  1. Open the drawer.
  2. Choose Security Deposits.
  3. Review deposit amounts tied to leases and tenants.
  4. Open the related lease when you need to inspect the lease details.

Documents

PLM Documents Explorer gathers generated and attached files, including invoices, receipts, lease agreements, CSV exports, PDFs, and other user documents.

Browse Documents

  1. Open the drawer.
  2. Tap PLM Documents Explorer to expand the folder shortcuts.
  3. Choose Invoices, Receipts, Lease Agreements, or Other Folders.
  4. Long press PLM Documents Explorer to open the document browser directly.

Attach Documents

  1. Open a property or lease.
  2. Expand Attached Documents.
  3. Tap Attach Document.
  4. Select the document from your device.
  5. Confirm the attachment. Attached files are then listed in that property or lease.

CloudSync, Backup, and Web Platform

CloudSync keeps app data synchronized across supported devices, supports remote backup and restore, and powers the Web Platform connection.

Use CloudSync + Backup

  1. Open the drawer.
  2. Choose CloudSync + Backup.
  3. Sign in if prompted.
  4. Review synchronization status, backup status, restore options, and connected device information.
  5. Use backup tools to create or restore a remote database copy when needed.
  6. If a sync conflict screen appears, review the conflict resolution guidance before replacing or restoring data.

Activate or Open the Web Platform

  1. Open the drawer.
  2. Choose Web Platform.
  3. Follow the activation prompts if the web account is not active yet.
  4. Use CloudSync to keep mobile and web data aligned.

AI Tools

AI tools can answer questions, generate reports, summarize lease and property performance, and assist with lease agreement generation. Some AI tools depend on sign-in, credits, and plan availability.

Ask AI Anything

  1. Tap the Dashboard + button and choose Ask Anything, or open the drawer and choose Ask AI Anything.
  2. Enter a question about your rental data or workflow.
  3. Review the response and suggested next actions.

Generate AI Reports

  1. Open AI Report Generator from the drawer for broader report options.
  2. Open a property and expand AI Analysis for a property report.
  3. Open a lease and expand AI Analysis for a lease report.
  4. Choose the data to include where checkboxes are shown.
  5. Tap Generate, review the output, then save to PDF when available.

Use AI for Lease Agreements

  1. Open a lease.
  2. Open Contract Details.
  3. Choose the lease agreement generation option.
  4. Use the agreement template workflow or the AI agreement workflow where available.
  5. Review the generated agreement before saving or sharing it.

Tenant Portal and Communication

Tenant communication screens help landlords share lease access, chat with tenants, and track tenant maintenance requests.

Use Tenant Shared Lease Tools

  1. Open a lease.
  2. Use the tenant sharing or tenant portal settings option where available.
  3. Review tenant access information before sharing.
  4. Configure tenant chat and maintenance request access if your plan and setup support it.

Use Chat and Maintenance Requests

  1. Open tenant chat from a shared lease, a notification, or the tenant communication shortcut.
  2. Read and send property-related messages.
  3. Open Tenant Maintenance Requests to review submitted requests.
  4. Edit request status, notes, and completion details as work progresses.

Settings, Account, and Customization

Settings and account tools control app behavior, user profile details, subscriptions, dashboard layout, currency, templates, reminders, and support options.

Manage Account and Profile

  1. Open the drawer.
  2. Choose Sign In, Sign Out, or Profile Details from the Profile section.
  3. Use Profile Details to update your display information.
  4. Choose Get Premium or Premium Version from the sticky drawer item to manage subscription options.
  5. Choose AI Credits Dashboard to review or top up AI usage where available.

Customize the App

  1. Open Settings from the drawer for general app preferences.
  2. Use Change Currency from settings where available to update currency display.
  3. From the Dashboard overflow menu, choose Customize Dashboard to reorder or toggle Dashboard cards.
  4. Choose Change Dashboard Image to customize the Dashboard background.
  5. Open Lease Contract Template Editor from the drawer to edit lease agreement template content.
  6. Use reminder email body settings from lease reminders to customize tenant reminder emails.

Archive, Community, and Utilities

The drawer also includes utility screens for archived records, calculators, community, support, and product information.

Use Archive Screens

  1. Open the drawer.
  2. Choose Archived > Leases to view archived lease records.
  3. Choose Archived > Tenants to view archived tenant records.
  4. Open a record from the archive when you need to review its history.

Use Utilities and Support

  1. Open Rent Calculator from the drawer to estimate rent amounts, periods, and pro-rata values.
  2. Open Landlord Community Forum to browse topics, create topics, reply, and adjust forum settings.
  3. Use Share, Like Facebook Page, Rate, Report a Bug or Send Feedback, View Update Log, About, or Restart Tutorial from the drawer as needed.
